Travel Club Cancellation & Refund policy


Full payment is due at the time of booking.
All Travel Club Trip Tickets are: FULLY RESTRICTED / NON-REFUNDABLE / NON-CHANGEABLE / NON-TRANSFERABLE / NON-EXCHANGEABLE / NO-SHOW PENALTIES APPLY.
 
Unless in exceptional circumstances with evidence (e.g. GPs statement of fitness/Hospital Letter etc.) & only if approved by the Travel Co-ordinator.

If you cannot travel, please inform ISH Travel Club immediately by email travel@ish.org.uk

Every effort will be made to re-sell your ticket. If your ticket is resold you will be reimbursed for the full amount of the trip (minus any name-change /administration fee imposed by the airline/ operator which is out of the control of the Travel Club).

The sooner you inform us that you cannot travel, the more likely it is that we can re-sell your ticket.
 
If you fail to inform us in advance (at least 10 working days’ notice) that you cannot travel and/or No-Show on the trip and/or cancel last minute (less than 10 working days prior to departure) - no refund will be due and you will be subjected to a fine and/or cancellation penalties equivalent to the subsidy ISH has paid on the trip.
 
In the unlikely event your trip is cancelled by the ISH Travel Club or one of our suppliers due to unusual or unforeseen circumstance beyond our control, then we will refund you the price paid for the ticket but you will not be entitled to any compensation for the loss of the tour.
 
Unlawful Resale of Tickets;
Tickets cannot be re-sold by students, they must be returned to Travel Club for re-selling. Any ticket sold or passed on by the original purchaser to another person will be invalid and cannot be used for travel. Unlawful resale (or attempted resale), counterfeit or copy of tickets is grounds for seizure and cancellation without compensation. In addition, we reserve the right to restrict or deny ticket purchasing privileges to any student that we determine to be, or has been, in violation of our Travel Club policies and Travel Club Terms & Conditions.

Who can join Travel Club?

All full-time students of our University Partners are welcome to join Travel Club. International Students House organises trips so that you can visit exciting new places, experience different cultures and make wonderful friends from around the world. We receive a generous grant, so all trips are subsidised up to 60% for University Student Members – meaning you can enjoy cheaper travel costs.

Your University ID must be valid at the time of the trip.

The I.S.H Charity Subsided Travel Club trips are for full-time students of our University Partners ONLY. General public are NOT eligible for Travel Club regardless if they are friends/family members etc.

Please contact your University direct to check if they have included you under the ISH University Partner membership.

What are the Age Restrictions?

Minimum 18yrs+ for all Travel Club trips and International Students House Events.

How do I book and pay for a Travel Club trip?

  • Look through our awesome Travel Club trip section. Trip tickets are released one month in advance.

  • Click on the trip to learn about what it includes.

  • Click on "add to cart" and follow the payment instructions.

NB Each student wishing to attend a Travel Club trip must book and pay separately. Multiple ticket purchases for the same trip on the same order will be voided and no refund due.

  • Once paid, you must complete the Mandatory Student Booking Form on your order status page.

Please make sure you complete the Mandatory Student Booking Form link within 24hrs of it being received. Your shopify order confirmation and your booking form acts as the confirmation of your trip space. You will not receive further confirmation or “tickets” from us. Please make sure you have your valid student ID on day, NO ID No Entry!

**UK Day Trip Itineraries are sent 72hrs prior to departure**

**UK Weekend/Overseas Weekend Trip Itineraries are given at the pre-tour meet up (invitation will be sent via email)**

Valid ID / Proof of student status must show an expiry date of study, and must show you as being a full-time student. ID must be valid for the dates of the trip(s) you intend to take – No ID No Entry!

How many students are on Travel Club trips?

Travel Club operated trips* are prepaid, ticketed trips with group capacity strictly limited to 14 students per Travel Club trip.

With our small group trips you will be able to enjoy popular destinations together with bespoke activities, whilst making new friends from around the world in a super friendly and comfortable environment.

*Harry Potter WB Studios & Oxford trips on our website are semi-private tours and operated by our lovely tour partner International

What do I need to bring?

  • Your University ID

A valid University Student ID must be with you at all times and must be
supplied/presented upon request – No ID No Entry!

  • Oystercard/Contactless Card

For London Tours and London Transfers. Make sure you have enough credit/monies loaded.

  • Weather suitable attire and comfortable shoes/trainers

  • Packed Lunch & Refreshments

If you will not be buying this on the day.

  • Money

To cover your expenses. Please do not bring very large amounts as we cannot be held responsible for this.

  • A Camera

To capture those trip/event memories.

What if my plans have changed?

All Travel Club and Events tickets are fully restricted and non-refundable, as all trips and events are prepaid in advance by the International Students House Charity Subsidy. Please see below for more information.

Please be aware that photography and/or filming will be taking place on all Travel Club Trips for promotional purposes.

The photographs and recordings may be used by International Students House for promotional purposes, for example on social media platforms, websites, mobile applications, emails, digital media, or printed materials. If you would prefer not to be photographed or filmed please speak with your Travel Club Trip Group Leader on the day.
